This Policy sets out the obligations of SysFix IT Support LTD ("the Company") regarding data protection and the rights of our customers and business contacts ("data subjects") in respect of their personal data under the General Data Protection Regulation ("the Regulation").

The Regulation defines "personal data" as any information relating to an identified or identifiable natural person (a data subject); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier, or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural, or social identity of that natural person.

This notice informs you how we use the information you provide and how we protect your privacy. It explains your rights under the UK Data Protection Act 2018 and the EU General Data Protection Regulations 2018. We offer cloud services including but not limited to: Off-Site Data Backup, Voice over IP, E-Mail Hosting, Website Hosting, IT Support Contracts and Internet Connectivity. To provide these services, we may need to collect personal data such as:

  • Name and contact details
  • Address information
  • IP Address
  • Bank details for payment processing

For directors, partners and shareholders of our client firms, we are required to verify your identity to comply with regulatory requirements.

Your information may be used to:

  • Introduce you to our services
  • Assist with ongoing IT administration
  • Provide invoices for products and services
  • Grant access to services
  • Communicate relevant updates and changes

Withholding required data may result in an insufficient service being provided. We may obtain data from individual customers or from employer firms.

  • Business partners, suppliers and sub-contractors for the performance of any contract we enter into with them

Retention Period

We will not hold your information longer than necessary (maximum 5 years after termination as a client), unless there's a lawful basis for retention. Financial data is kept for 7 years as required by law.

Data Accuracy

Should your data be inaccurate, we will rectify it without delay upon notification.

Right to Erasure

You may request deletion of your data at any time. This will be actioned unless there's a lawful basis for retention.

Data Portability

Should you wish to transfer your data to another organisation, please contact us and we will facilitate this process.

Access Rights

You can request access to your data at any time. We will provide a full copy within one month of your request.

Consent Withdrawal

You can withdraw consent to us holding and processing your information at any time by contacting our office.

We may provide you with updates and bulletins appropriate to your service. You can opt out of these communications at any time by changing your subscription preferences.
